1. About VetGnosis
VetGnosis is a veterinary practice management and clinical workflow application. It supports patient records, consult notes, vitals, appointments, attachments, billing documents, offline workflows, backups, and AI-assisted differential diagnosis support.
VetGnosis is intended for use by veterinary professionals or authorized practice staff. It is not intended for use by animal owners as a substitute for veterinary care.
2. Eligibility
You may use the Service only if:
- you are at least 18 years old;
- you can form a legally binding agreement;
- you are a veterinary professional, veterinary practice staff member, or otherwise authorized to manage veterinary practice information;
- your use complies with applicable laws, professional rules, and these Terms.
If you use VetGnosis on behalf of a clinic, company, or other organization, you represent that you are authorized to bind that organization to these Terms.
3. Accounts and Security
You are responsible for:
- providing accurate account information;
- keeping your login credentials secure;
- maintaining access to your account email and phone number where verification is used;
- all activity under your account;
- promptly notifying us of suspected unauthorized access.
We may require email verification, phone verification, or other checks before enabling certain features, including free-trial AI credits.
We may suspend or restrict access if we believe your account is compromised, fraudulent, abusive, violates these Terms, or creates legal, security, operational, or payment risk.
4. Professional Responsibility and Clinical Use
VetGnosis is a workflow and clinical-support tool. It does not replace your professional judgment, examination, diagnostics, client communication, treatment decisions, or compliance with veterinary laws and standards.
You are solely responsible for:
- assessing each animal patient;
- verifying information entered into the Service;
- reviewing AI outputs before relying on them;
- selecting appropriate diagnostics and treatment plans;
- confirming drug doses, contraindications, withdrawals, and formulary guidance;
- maintaining legally compliant clinical records;
- obtaining any required client consent;
- deciding what information may be shared, exported, or stored.
Do not use VetGnosis as the sole basis for emergency decisions, diagnosis, treatment, prescribing, euthanasia decisions, public health decisions, or other high-risk veterinary decisions.
5. AI-Assisted Features
VetGnosis may provide AI-assisted differential diagnosis support and related clinical reasoning outputs. AI outputs may be incomplete, inaccurate, outdated, biased, or unsuitable for a specific patient.
You agree that:
- AI suggestions support, but do not replace, veterinary judgment;
- AI output must be checked against current clinical findings, diagnostic results, local disease prevalence, regulations, and formulary guidance;
- you will not present AI output as a definitive diagnosis unless independently verified by a qualified professional;
- you will avoid submitting unnecessary personal information about human clients in AI requests;
- you are responsible for any decision, record, communication, or treatment based on AI-assisted output.
We may route AI requests through different AI models depending on plan, credit source, cost controls, system availability, safety, and product configuration. Free-trial AI credits may use a lower-cost model than paid tiers.
6. Subscriptions, Entitlements, and AI Credits
VetGnosis may offer free, Basic, Pro, promotional, trial, referral, annual, monthly, and add-on credit-pack access.
Current commercial logic may include:
- a free trial with a limited number of lifetime AI differential credits;
- paid subscription tiers with monthly included AI credits;
- annual subscriptions that receive included-credit refills monthly rather than all at once;
- add-on AI credit packs that increase available AI credit balance without changing the base plan;
- referral rewards or promotional entitlements where available.
Plan names, prices, credit quantities, features, and availability may change over time. The website, checkout, or written offer shown at purchase controls the commercial terms for that purchase, subject to these Terms, our Billing and Refund Policy, Paddle's buyer terms, and applicable law.
AI credits:
- are a usage allowance for AI requests;
- have no cash value;
- are not a stored-value account, bank account, gift card, or currency;
- may be deducted when an AI request is submitted or reserved server-side;
- may be refunded automatically if a qualifying server-side processing failure occurs;
- may not be transferred, resold, or exchanged for money;
- may be limited, reset, expire, or be adjusted according to the applicable plan, promotion, or credit-pack rules.
7. Web Purchases, Paddle, and RevenueCat
Website purchases are processed by Paddle, which acts as Merchant of Record. Paddle may handle payment processing, tax calculation and collection, invoicing, receipts, chargebacks, payment support, and refunds.
For Paddle-processed orders: "Our order process is conducted by our online reseller Paddle.com. Paddle.com is the Merchant of Record for all our orders. Paddle provides all customer service inquiries and handles returns."
VetGnosis uses RevenueCat to manage entitlements and sync subscription or credit-pack status into the app. After Firebase login, VetGnosis may link your Firebase user ID and account email with RevenueCat so that eligible web purchases unlock the correct app access.
The Android app is designed as an entitlement reader and does not include external web payment links.
Your payment transaction may also be governed by Paddle's Buyer Terms, Paddle's Privacy Policy, and Paddle's Refund Policy.
8. Cancellations and Renewals
Subscriptions renew automatically unless cancelled before the renewal date through the cancellation method provided by Paddle or the relevant billing platform.
Cancelling a subscription stops future renewal but does not automatically refund past charges. Access may continue until the end of the paid billing period unless otherwise stated at checkout or required by law.
You are responsible for cancelling before renewal if you do not want future charges.
9. Refunds
Refunds are governed by our Billing and Refund Policy, Paddle's applicable buyer terms and refund rules, and applicable law.
Where Paddle is Merchant of Record, approved refunds are normally processed by Paddle back to the original payment method. VetGnosis may review support context and product usage, but Paddle may make or administer final payment-processing decisions where required.
10. Clinic and Team Use
VetGnosis is built for individual use today and is architected for future clinic/team synchronization. Where clinic or team features are available, access may be scoped by clinic ID, membership, role, license seats, or other authorization rules.
You are responsible for ensuring that any clinic members, staff, contractors, or other authorized users comply with these Terms and only access information they are permitted to view or edit.
11. User Content and Practice Data
"User Content" means information, records, files, notes, images, attachments, billing documents, backups, AI request inputs, and other content you enter, upload, generate, export, or share through the Service.
You retain your rights in your User Content. You grant us a limited, non-exclusive, worldwide license to host, process, transmit, display, back up, secure, and use User Content as necessary to provide, maintain, protect, and improve the Service; process AI requests; sync billing and entitlement state; provide support; and comply with law.
You represent that you have the rights, permissions, and consents needed to enter, upload, process, export, share, and store User Content through VetGnosis.
You are responsible for the accuracy, legality, quality, and professional appropriateness of User Content.
12. Acceptable Use
You agree not to:
- use the Service for unlawful, fraudulent, deceptive, abusive, or harmful purposes;
- access or attempt to access another user's account or data without authorization;
- interfere with, disrupt, reverse engineer, overload, scrape, or attack the Service;
- bypass billing, entitlement, credit, rate-limit, verification, or security controls;
- resell, sublicense, rent, or commercially exploit the Service except as expressly permitted;
- upload malware, harmful code, or content that violates another person's rights;
- use the Service to generate or distribute misleading clinical claims;
- submit unnecessary sensitive personal information, human medical data, or unrelated confidential information to AI systems;
- use automated systems to abuse free trials, referrals, credits, or promotional entitlements;
- violate applicable veterinary practice, data protection, consumer, export control, sanctions, or professional rules.
13. Backups, Exports, and Sharing
VetGnosis may allow you to export, email, share, print, back up, restore, or transfer records, PDFs, attachments, billing documents, ZIP files, CSV files, or other data.
You are responsible for:
- checking exported records before sending them;
- ensuring the recipient is authorized;
- securing backup files;
- complying with client confidentiality and professional recordkeeping duties;
- understanding that data shared outside VetGnosis may no longer be controlled by VetGnosis.
14. Third-Party Services
The Service may integrate with or rely on third-party services, including Firebase, Google Cloud, RevenueCat, Paddle, OpenAI, Android platform services, email clients, file pickers, sharing tools, notification systems, or other device features.
We are not responsible for third-party services that we do not control. Your use of third-party services may be subject to their own terms and policies.
15. Service Availability and Changes
We aim to provide a reliable service, but we do not guarantee uninterrupted, error-free, or always-available operation. Some features may depend on internet access, third-party providers, device permissions, app version, account status, or billing entitlement state.
We may modify, suspend, discontinue, limit, or replace features at any time, including AI models, credit policies, pricing, subscriptions, storage behavior, security controls, and integrations. We will try to provide reasonable notice for material changes where practical.
16. Beta, WIP, and Pre-Release Features
VetGnosis may include in-development, beta, or pre-release features. Such features may change, fail, contain errors, or be removed. You should not rely on beta features as the sole system of record for critical workflows unless you have appropriate backups and professional safeguards.
17. Intellectual Property
VetGnosis, including the software, website, app design, workflows, code, documentation, branding, logos, UI elements, and other materials, is owned by us or our licensors and is protected by intellectual property laws.
Subject to these Terms and your active entitlement, we grant you a limited, revocable, non-exclusive, non-transferable license to use the Service for your internal veterinary practice workflow.
You may not copy, modify, distribute, sell, lease, sublicense, reverse engineer, or create derivative works from the Service except as permitted by law or with our written permission.
18. Feedback
If you provide feedback, ideas, suggestions, bug reports, or feature requests, you grant us the right to use them without restriction or compensation, while respecting our Privacy Policy.
19. Suspension and Termination
We may suspend, restrict, or terminate access if:
- you violate these Terms;
- payment fails, is reversed, disputed, or appears fraudulent;
- we detect abuse, security risk, or unauthorized access;
- continued access would create legal, operational, clinical safety, or reputational risk;
- required by law, payment processor, platform, or service provider.
You may stop using the Service at any time. Cancellation of a paid subscription is handled under the Billing and Refund Policy.
Termination does not eliminate obligations that should reasonably survive, including payment obligations, professional responsibility, confidentiality duties, intellectual property restrictions, disclaimers, limitations of liability, and dispute provisions.
20. Disclaimers
To the maximum extent permitted by law, the Service is provided "as is" and "as available" without warranties of any kind, whether express, implied, statutory, or otherwise.
We do not warrant that:
- the Service will be uninterrupted, secure, or error-free;
- AI outputs will be accurate, complete, current, or clinically appropriate;
- records, exports, calculations, reminders, notifications, or billing documents will be free from error;
- the Service will meet every legal, professional, regulatory, or practice-management requirement in your jurisdiction;
- third-party services will remain available or unchanged.
You are responsible for maintaining appropriate clinical safeguards, backups, review processes, and professional judgment.
21. Limitation of Liability
To the maximum extent permitted by law, VetGnosis and its owners, employees, contractors, service providers, and licensors will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, or for lost profits, lost revenue, lost data, loss of goodwill, business interruption, clinical decisions, treatment outcomes, or third-party claims arising from or related to the Service.
To the maximum extent permitted by law, our total liability for all claims relating to the Service will not exceed the amount you paid to VetGnosis or through Paddle for the Service during the three months before the event giving rise to the claim, or USD $100 if you have not paid during that period.
Some jurisdictions do not allow certain limitations, so some limits may not apply to you.
22. Indemnity
To the maximum extent permitted by law, you agree to indemnify and hold harmless VetGnosis and its owners, employees, contractors, service providers, and licensors from claims, damages, liabilities, losses, costs, and expenses arising from:
- your use of the Service;
- your User Content;
- your clinical decisions or professional services;
- your violation of these Terms;
- your violation of law or third-party rights;
- unauthorized access caused by your failure to secure credentials, devices, exports, or backups.
23. Consumer Rights
Nothing in these Terms excludes, restricts, or modifies rights that cannot be excluded under applicable consumer protection law. If mandatory law gives you rights that conflict with these Terms, those mandatory rights apply.
24. Governing Law and Disputes
Unless mandatory local law requires otherwise, these Terms are governed by the laws of South Africa, without regard to conflict-of-law rules.
The courts located in Johannesburg, Gauteng, will have exclusive jurisdiction over disputes, unless applicable law gives you the right to bring claims elsewhere.
Payment transactions processed by Paddle may also be subject to Paddle's buyer terms, governing law, dispute, chargeback, tax, and refund processes.
25. Changes to These Terms
We may update these Terms from time to time. If we make material changes, we will update the effective date and may provide notice through the website, app, or account communications.
Your continued use of the Service after updated Terms become effective means you accept the updated Terms.
